Temporary Interim Position

Primary Purpose:

Provides clerical services and assists the Superintendent in the efficient operation of the district

Qualifications:

Education/Certification:

 60 college hours, bookkeeping experience

Special Knowledge/Skills:

Ability to maintain accurate and auditable records

Ability to use personal computer and software to develop or maintain spreadsheets and databases

Proficient word processing and file maintenance skills

Knowledge of basic accounting principles

Ability to follow written instructions

Ability to operate multi-line phone system

Strong organizational, communication, and interpersonal skills

Experience:

Three years clerical experience preferred

Major Responsibilities and Duties:

Records, Reports, and Correspondence

  1. Prepare written correspondence, forms, schedules, or reports using personal computer.
  2. Maintain program records, as needed.

Reception and Phones

  1. Schedule meetings and appointments
  2. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  3. Greet and direct visitors when necessary.
  4. May require occasional sorting, and distribution of related mail, messages, documents, and other deliveries.

Files

  1. Maintain physical and/or computerized files including program & meeting documentation and office communication.
  2. Collects and organizes documentation as needed.

Accounting and Inventory

  1.    Order supplies for office.
  2.    Complete purchase requisitions, as needed.
  3.    Complete travel requisitions, as needed. 

Other

  1. Runs necessary reports
  2. Provide clerical assistance as needed.
  3. Maintain confidentiality.
  4. Other duties as assigned

Equipment Used:

Personal computer, printer, copier, fax machine, and calculator.

Maintain emotional control under stress; work with frequent interruptions. Repetitive hand motions; prolonged use of computer.
